Andrea Rice [00:00:20] Hello and welcome to REINCheck. I am your host, Andrea Rice, and today we are checking in with REI's Product Support Trainer Katherine Adkins to answer some of the top Instanet questions. We will be discussing important things to know when transferring firms or offices and how to upload external documents to your transactions. Katherine, thanks so much for being here today. Are you ready to get started? 
 
Katherine Adkins [00:00:44] Yes, thank you for having me. Let's get to it. 
 
Andrea Rice [00:00:48] Well, as we all know, when it comes to real estate, things are always changing. And sometimes that means agents are changing offices or firms. So what do agents transferring firms or offices need to know when it comes to Instanet in their transactions? 
 
Katherine Adkins [00:01:04] Great question. When an agent switches office or firms, they'll. Often panic because they'll log in to Instanet and see that their old transactions aren't there anymore. If you want to be 100% sure that you don't lose your transactions or know for certain that there are documents that you want to hold on to, you should make sure to copy the documents somewhere outside of Instanet that you can access before you transfer an office or firm. To do that the listings department has to receive documentation from both the previous broker and current broker. If you don't copy the forms before you transfer, in order to get those transactions transferred from your old firm to your new firm, the listings department has to get documentation both from the previous broker and the current brokersSigning off on the transfer of the transactions. The listing number property address, prior firm or broker and current firm or broker have to be included on the signed document. Once the listings department receives that paperwork, they'll transfer the listing and email the prior broke instructions on how to transfer the transaction to the agent in their new office It is important to remember that the listings belong to the firm and not to the agent, which is why the transactions don't automatically transfer when agents switches offices. And it's why REIN has to receive authorization from the prior broker to the new broker in order to transfer the listings. 
 
Andrea Rice [00:02:36] Yeah. Thank you, Katherine. I know that might come as somewhat of a surprise to some of our agents, especially the newer agents. So it's a good thing to keep in mind if you are thinking about transferring to a new office. So now let's get on to another common Instanet question that you guys get, and that is how to get external or physical documents uploaded into Instanet. I know sometimes an agent will get documentation such as the AICUZ, DPOR Lead, or other documents signed physically or maybe in another program outside of Instanet like Dotloop or DocuSign. How can those documents be uploaded into Instanet? 
 
Katherine Adkins [00:03:16] Luckily, it's pretty easy to get any already signed documents into Instanet. We do always recommend starting anything in Instanet by clicking on the little house on the left hand side. After that, you'll want to create a transaction with the add button. And from there you'll be able to name your transaction. Personally, I usually go with the address but that's just a personal preference. Some people choose to have the client's name as the name of the transaction. The transaction is kind of like a folder that can house all the things that have to do with that particular property. Once the transaction is created, you'll want to click on documents on the right hand side and then click Add again. From there, you can create a fact that covers sheet, which gives you directions on what to do to get your documents via fax into this folder. You also have the option to add a new document where you have the ability to upload directly from your computer, from cloud software, or even the ability to email it to an email address. Instanet provides. Listings does want to make sure that everybody adds their documents individually so they can be uploaded individually with the correct title. Otherwise, you're running the risk of a confidential document being viewable. That's not it, though. In order for listings and other agents to see your signed documents, you have to link them to Matrix. There is a video on REINMLS.com. If you click on Learning and Development that's titled Linking Transactions to Listings, which will help you connect those two programs.
